  • Ability to take initiative & structure your work self-sufficiently

About this position

As Administrative Assistant, you report directly to the Head of Operations and work in close exchange with the international Backoffice Team. You are responsible for efficient and smooth document handling, reviewing and managing various contracts, coordinating appointments and business trips from start to finish and occasionally writing meeting minutes.

As the first point of contact for our location in Zug, you will independently organise all aspects of the office premises and handle a wide range of administrative tasks. You use your organisational skills to carry out clarifications and to introduce and optimise internal processes. In addition, you perform various assistance tasks for the company management and assist with groupwide recruiting activities.

Furthermore, you make sure that all invoices are being prepared for payment in a timely and organised manner. You handle the reconciliation of bank account and credit card statements independently and prepare the bookkeeping documents on a monthly basis for our fiduciary.

Responsibilities

  • Support the management to minimise the administrative workload
  • Execute daily administrative / operational tasks and prepare detailed reports and correspondence to management
  • Control accounting and manage the preparation of bookkeeping documents for the fiduciary
  • Verify accuracy of incoming invoices and correct any errors
  • Independent office management at our location in Zug
  • File physical and electronic documents
  • Assist in human resources related tasks and support in recruiting activities
  • Be the main point of contact for all personnel-related and office topics
  • Support the group-wide implementation of new processes and optimize internal processes
  • Support in ad-hoc tasks across different departments (e.g. preparing presentation materials, go-to person for all office needs, handling of private matters, etc.)
